What we need to know to propose the right project.
Every project is a different challenge – just as every company and its approach to business is different. That is why, before we propose a solution, we want to understand the client's expectations: who the offer is aimed at, what sets the company apart from its competitors, which features are really needed and why. Only then can we make joint decisions about what the website or logo should look like.
For years we have used an online questionnaire for this purpose. It takes around fifteen minutes to complete, and the answers allow us to define the scope of work precisely and prepare a reliable quote – without endless rounds of questions and e-mails.

Before you order... submit a request
The easiest way to start working with us is a short online questionnaire – a separate one for websites and for visual identity. Once you have sent it, you will receive an email confirmation with a copy of your answers and an individual link to your request, where you can follow the next stages: our conclusions from the questionnaire, the quote and the contract.
In return for the time you spend filling in the questionnaire, we prepare an analysis with our conclusions – comments on, for example, your current website, your competitors or the ideas described in the questionnaire. It is the first form of support you receive from us before deciding to work together. Sending the questionnaire places you under no obligation.
What is a custom website design?
It is a design created from scratch, matched to the client's visual identity and based on assumptions agreed together with them – not a ready-made template with minor changes. It takes into account the character of the brand, the target audience, and the content and features the website actually needs.
Such projects take more work, but the end result is unique and better supports the company's sales and image. Depending on the scope, one to several designers work on it.
What is a corporate visual identity?
Visual identity is a set of consistent elements that make up a company's visual image. Its foundation is the graphic mark – the logo – and the brand book, which defines its construction, colours, typography and rules of use across different media.
These media include business cards, letterheads, the website, social media, signs and premises signage, promotional materials, packaging, clothing and merchandise. A consistent identity makes a company recognisable and trustworthy, and every new piece of material can be produced faster and more cheaply.
We define the scope of the project on the basis of a visual identity questionnaire.
What is a responsive website design?
It is a design that automatically adapts the layout and size of page elements to the screen – a phone, tablet, laptop or large monitor – while keeping it readable and attractive. Today it is the standard: most visits to company websites come from mobile devices, and Google assesses websites primarily by their mobile version.
We design every website responsively from the outset – not as an add-on, but as part of the graphic design. We treat the mobile version individually, because different things matter on a phone than on a computer: quick access to contact details, a convenient menu and concise content.
What do we need to design a website?
- Questionnaire – to begin with, we ask you to fill in an online questionnaire. It asks about your business, target audience, competitors, required features and materials. This is how we learn what matters most to you.
- Analysis and quote – based on your answers, we prepare recommendations: we propose a CMS version, features and scope of work, as these directly affect the design and its cost. You will see the recommendations and the quote via an individual link to your request.
- Contract – once the quote is accepted, we prepare a contract with your details and the scope of work. The contract is accepted online – no printing, signing or scanning. We also purchase the CMS licence on your behalf.
- Materials – we ask you to send materials related to your visual identity (logo, colours, fonts), as well as texts and photos, if available. If they are missing, we can write the texts, carry out a photo shoot or select images from a stock photo library.
Once the advance specified in the contract has been paid on the basis of an invoice, we start work.
How much does a custom design and build of a CMS website cost?
We always price a custom project on the basis of a questionnaire and a conversation, so the quote is tailored to the needs of each client. The cost usually includes:
- a CMS licence – from PLN 449 to 899 net, depending on the version,
- the graphic design of the website, including the responsive version – from PLN 1500 net,
- development work to implement the design – a minimum of 20 h at the hourly rate,
- optionally, content entry and photo editing – a minimum of 5 h at the hourly rate,
- hosting and e-mail for the first year – PLN 1 net,
- CMS training – up to 4 h remotely – free of charge.
You will receive a detailed, itemised quote via the link to your request, and its items go straight into the scope of work in the contract.
How long does it take to design a website?
We can prepare a simple design within a week, and a more complex one in a few weeks, including consultations with the client. The contract sets out the time for preparing the design concept and for submitting and making corrections, so both sides know what to expect and when.
How long does it take to build a website?
That doesn't depend on us alone. A finished website is one with the design implemented and the content in place. A design with implementation usually takes about 2–3 weeks. If the client enters the content, this can stretch to several months – which is why we usually suggest building the website from A to Z, including content and photos.
How does a project run?
To begin with, we ask you to fill in a questionnaire – it is not an order, but it allows us to prepare our recommendations and a quote. Once the quote is accepted, we prepare a contract for specific work, which you accept online via the link to your request.
The contract sets out the scope of work, the design delivery date, the time for submitting corrections and our response time. Once the contract is concluded, the client pays an advance on the basis of a VAT invoice – the amount is specified in the contract. A lack of response from the client may result in termination of the contract, although we try to be flexible in this respect.
We carry out the work on our own servers, from which we share the designs and working versions of the website for review. The finished website is moved to the target server and the copyright is transferred once the work has been approved and the final invoice paid.
What is grafiQa Support

Do you integrate the CMS with other external systems?
Yes – as long as the system provides an API, i.e. a programming interface through which data can be exchanged. Most professional tools have one: booking systems, invoicing software, wholesalers and sales platforms. On that basis we prepare a suitable modification of Quick.Cms.Ext or Quick.Cart.Ext.
One example is integration with the salon and clinic management system HALO 24: the administrator updates price lists, services or the list of specialists there, and the data is updated on the website, where clients can book an appointment straight away.
What additional services can we offer as part of a project?
